Programs Team Administrative Coordinator, (Non-Exempt), Reports to Executive Director, Upper Room Programs – The Upper Room

The Programs Team Administrative Coordinator position coordinates administrative operations for all offices that comprise The Upper Room’s Program unit, including Emmaus Ministries, The Academy for Spiritual Formation, The Center for Healing & Resilience, and Chapel/Worship ministries. The role requires providing organizational and technical solutions, assisting in event planning and coordination for regional and international events, managing financials, managing program registrations, maintaining databases, interpreting contractual obligations and managing agreements for contracted work, supporting contractors, and providing relational and hospitable customer service for all constituencies, prospects, and partners.

Oversee the registration and program administration processes for multiple program offerings ranging from short term 3 to 5-day retreats to long-term community experiences such as Two-Year Academies using event management platforms like Stova. Ensure accurate and timely communication with participants and leaders, including invoicing. Administer CEUs and scholarships. Manage delivery, collection, and compiling of evaluations for program offerings.

Assist in budgeting, expense tracking, collecting participant payments, payments from communities, and payments for contracted work by program staff. Manage financial reporting for various events and programs. Process honorarium payments and expense reimbursements, Manage vendor relationships and invoices.

Education / Experience

Bachelor’s Degree or Equivalency

Proven experience in administrative management, preferably in an educational or non-profit setting.

Proficiency in Microsoft Office and database management software.

Familiarity with event registration platforms and online meeting tools.
